Shipping Policy

At Hello Camcorder (a service of Waxwing Holdings, LLC), we want your rental experience to be smooth from the moment you book to the moment your edited recap lands in your inbox. This Shipping Policy explains how shipping works on both ends of your rental.
1. Preferred Camcorder Arrival Date
When you place an order, you'll select a Preferred Camcorder Arrival Date. We recommend choosing a date 2–3 days before your event so you have time to charge the battery, get familiar with the camcorder, and avoid any last-minute shipping surprises.
If you need to change your Preferred Arrival Date after booking, please contact us at least three weeks in advance of the original delivery date. Adjustments requested within that window are not guaranteed.
Once the package has been delivered to your specified address, we cannot take responsibility for issues caused by timing changes or relocations (for example, if you've moved or are no longer at the delivery address). Accuracy at checkout is essential.
2. Delivery Timeline
We schedule shipments to arrive on or before your Preferred Arrival Date, building in a buffer to absorb minor shipping delays. If anything changes with the delivery timeline, we'll notify you promptly and work to minimize disruption.
3. Service Delays
We partner with reliable carriers, but occasional delays outside of our control do happen. To stay safe, we recommend scheduling your Preferred Arrival Date several days before your event, while keeping in mind that the standard Return Date is 7 days after the Arrival Date.
4. What's Included for Free
Every rental includes:
- ▸Outbound shipping. We ship the camcorder kit to your specified U.S. address.
- ▸A prepaid UPS return label. Tucked in the box, ready to go.
- ▸Replacement labels (when needed). If a replacement package needs to be shipped due to circumstances we determine warrant it, we provide an additional prepaid label at no charge.
5. Return Shipping
All returns must use the prepaid UPS return label provided in your kit.
Rentals must be shipped back within 7 days of your Camcorder Arrival Date as specified in your order confirmation. If your Return Date falls on a Sunday or federal holiday, you can drop off on the next business day without penalty.
It is your responsibility to retain proof of return shipment — a UPS drop-off receipt is the cleanest option. Without proof of drop-off, the Equipment may be classified as unreturned, and replacement fees will apply per our Equipment Rental Agreement.
6. Damaged or Lost Packages
- ▸Equipment arrives damaged? Contact us within 24 hours of receipt and we'll figure out a fix.
- ▸Package lost in transit before delivery? We'll coordinate with the carrier to resolve the issue and arrange a replacement if possible. If the timeline is tight relative to your event, we'll do our best to expedite.
7. General Shipping Terms
- ▸Hello Camcorder ships within the continental United States only. (If your event is abroad and you have a U.S. address, you're welcome to ship to that address and bring the camcorder with you.)
- ▸We do not ship on federal holidays. Delays are more common during peak holiday seasons.
- ▸We strongly encourage booking 4–6 weeks in advance to ensure availability and accommodate transit times.
